The best way to store video footage long term (and what fails first)

How long HDDs, SSDs, NAS, LTO tape and cloud archives actually keep footage, what bit rot is, the 3-2-1 rule applied to video, and the cost per TB per year of each option in rupees, including the ₹599 per TB archive tier.

Short answer: the best way to store video footage long term is three copies on two kinds of media with one off-site, the 3-2-1 rule, because every single medium fails in a different way. Hard drives die mechanically after three to five years on a shelf, SSDs lose data unpowered within a year or two, NAS arrays protect against one disk failing but not against fire, theft or a wrong delete, and cloud archives cost more per TB per year than any drive. Combine them and nothing fails at the same time.

What fails first, and how?

Portable HDDs fail mechanically. Bearings, heads and the spindle motor degrade whether or not the drive is used, and a drive that has sat unpowered for four years may not spin up. HDDs also suffer bit rot: individual sectors go bad silently.

External SSDs are fast and shock-proof but store data as charge in cells that leaks over time. The industry design standard for consumer SSDs is one year of data retention unpowered at about 30 °C; in practice it is often longer, but no manufacturer promises it. An SSD is a working drive, not an archive.

A NAS with RAID survives one or two disks failing. It does not survive the power supply failing and taking the array with it, a controller fault, ransomware on the office network, a flood, or an editor deleting the wrong folder, because RAID copies the delete too. RAID is redundancy, not backup.

LTO tape is the archival medium of broadcasters: 30-year rated shelf life, 18 TB per LTO-9 cartridge. The drive costs several lakh and a small studio rarely has the volume to justify it.

Cloud archives do not fail physically, because the provider keeps multiple copies and replaces hardware silently. They fail when the account lapses or a retrieval fee makes you hesitate to pull a project back.

A shelf of HDDs is the cheapest medium by a wide margin, even after buying two of everything. The cloud’s price buys what a shelf cannot: off-site from day one, verified continuously, and dependent on nobody remembering to spin the drives in March.

What does 3-2-1 look like for a video library?

Three copies of every finished project. Two different media, so a fault that kills one kind does not kill both. One copy somewhere else, so a fire, a theft or a flood in the office does not take everything.

For a solo creator: the working copy on an external SSD or a streaming cloud drive, a second copy on a 5 TB HDD in a cupboard at a family member’s house, and the third in a cloud archive. For a studio: the working library on a NAS or a cloud drive with a studio cache, a cloud archive for delivered projects, and a set of HDDs rotated off-site each quarter. How do you keep a shelf drive alive?

Label it with the contents and the date. Once a year, plug it in, let it mount, open a few files from different folders and let them play. Better, keep a checksum file alongside the footage and verify it; a mismatch is bit rot, and the fix is to re-copy that file from another copy while you still have one. Retire the drive at five years and copy its contents to a new one.

What should go to archive, and when?

Not everything. Keep every original camera file for delivered projects, the final master, the project file and the graphics. Delete render cache, previews, proxies and draft exports; they are regenerated from the originals if the project returns.
